A Simple Guide to Faster, Better Knowledge
Why This Matters
This guide explains how to prepare your documents so they can be quickly and accurately added to INSUREU2® Artificial Intelligence.
When documents are clear and well-prepared:
They move through the system faster
Knowledge becomes available sooner
Answers are more accurate when you need them
Poorly prepared documents may slow things down or require extra work.
Accepted File Types
Please submit documents in one of the following formats:
PDF (Preferred)
DOCX
TXT
HTML

MHTML / MHT

Helpful Tips
PDF is the fastest format for review and processing
Images must be clear, readable, and properly oriented
Use ZIP files only when submitting multiple related documents
File Naming Made Easy (Required)
To keep everything organized, please name your files using this format:
Document Name – YYYY-MM-DD
Good Examples
Auto_Underwriting_Guidelines – 2026-01-04.pdf
Claims_Process_Update – 2026-01-04.docx
Billing_FAQs – 2026-01-04.pdf
Simple Rules
Use clear, descriptive names
Use dashes or underscores only
Always include the date (year–month–day)
Avoid labels like “final,” “v2,” or unclear wording
Clear file names help your documents get processed faster.
How Your Content Should Be Written
All documents must be written in a story-style, informational format.
Think of it this way:
Your document should read like something that is ready to be shared and read by others, not internal notes.
What Works Best
Full sentences
Clear explanations
Logical flow from beginning to end
Plain, easy-to-understand language
What to Avoid
Bullet points with no explanation
Draft notes or outlines
Internal shorthand or unexplained acronyms
Images without written context
If someone new can read it and understand it easily, it is ready.
Cleaner Information = Faster Results
The cleaner your information is, the faster and better it comes out when needed.
Clean, well-written documents help INSUREU2® Artificial Intelligence:
Find information quickly
Deliver accurate answers
Reduce confusion and follow-up questions
Simply put:
Clear input leads to faster, clearer output.
When Is a Document Ready?
Your document is considered knowledgebase-ready when it is:
Clean and easy to read
Fully written and complete
Organized into clear sections
Ready to be published as-is
If it is still a draft, it is not ready yet.
If Your Document Needs Changes
If your document does not meet these standards:
You will be notified through the INSUREU2® Artificial Intelligence Help Desk
-
You will have two options:
Fix and resubmit the document
Approve a document-to-knowledge conversion service (fee applies)
This keeps expectations clear and the process fair for everyone.
Why We Use These Standards
These guidelines help protect:
Knowledge accuracy
System performance
Faster turnaround times
A smooth experience for everyone
Well-prepared documents go live faster and work better when you need answers most.
